Virtual Assistant
about this role
Since creating training and documentation for our clients is a huge part of what we do, the Virtual Assistant will be our go-to person for managing and migrating client-created training content, transcribing and summarizing video content, editing written and video training content and managing OH-SO-MANY FILES with so many details so that everything ends up in the right place for the final client deliverable. Additional duties may include managing social media posts, blog posts, and handling client inquiries.
This is a 100% remote independent contractor position. Expect 10-20 hours per week to start, with an opportunity to grow to a full-time position with greater responsibilities for the right person.
Key Results for the Role:
The Virtual Assistant is responsible for ensuring all client training and documentation meets our specifications and standards.
Key Tasks & Responsibilities:
The following are the main tasks and responsibilities for this position:
Migrating client-written content into training software
Transcribing and/or summarizing training videos to create step-by-step written processes
Formatting written content to match pre-defined style guides in training software
Choosing multimedia (images, videos, GIFs, etc.) to support learning in training software
Writing introductions, summaries and transitions to training lessons to help them flow
Suggesting ways to improve training content
Simple video editing
Sending Client Updates & Other information via email
Coordinating getting content and files from clients for use in training and documentation
Following quality standards for written and video content
Updating quality standards for continuous improvement
The following are occasional tasks and responsibilities for this position:
Updating social media with pre-created posts
Updating website with content, including blog posts, podcast episodes, etc.
Skills Needed:
We're very willing to train a person with the right gifts and talents on the technical details of the job. BUT you do need to be someone who will pick things up quickly and run with them…and then make them even better.
That said, there are a few minimum skills we need:
Strong written skills in English, including grammar and ability to write with a casual, upbeat tone
Ability to manage multiple incoming requests, while ensuring they are relayed or handled at the appropriate time, in the necessary order and in the correct manner
Ability to quickly learn new software applications
Comfortable with managing and organizing content from many detailed files
Works quickly without overthinking things and consistently meets deadlines
Borderline obsessed with organizing just about everything
Summary
In summary, we’re looking for someone who can take all the parts and pieces of our clients’ business documentation and put it all together in just the right way. You’ll be writing and copying and pasting and formatting a LOT of content, so this has to be something you love doing.
